A large PDF is not always a long document. A few high-resolution scans can take up more space than hundreds of text pages. Before reducing a PDF for ChatGPT, identify what is making it large and what information your question actually needs.
The aim is a smaller file that still carries useful, readable information. Aggressive compression can blur a chart or remove a searchable text layer, making the upload less useful even if it becomes much smaller.
Check the upload message before changing the PDF
File size, document length and account usage limits are separate issues. A smaller file does not necessarily solve a document text limit or an account upload quota. Read the message shown by ChatGPT and consult OpenAI’s current file upload guidance for the limits and processing behaviour that apply.
If the file already uploads successfully, you may not need compression. If the issue is the amount of text, choose a relevant chapter or section. If the upload is failing because of account usage limits, repeatedly recompressing the same file will not resolve that restriction.
Remove pages that your question does not need
Start by opening the original PDF and identifying the useful range. A question about one experiment may need its methods, results and definitions, but not every appendix in a report.
Use Cifrivo’s Extract PDF Pages to create a smaller document containing those pages. If several chapters should remain separate, use Split PDF. Keep the original and give each extract a meaningful filename, such as report-methods-and-results.pdf.
Retain the context needed to interpret the extract: units, table headers, footnotes, definitions and relevant source information. Fewer pages are helpful only if the remaining pages still make sense.
Export a smaller PDF from the source document
If you have the original document or presentation, try exporting it again with a smaller image size or a screen-quality PDF setting. This can reduce embedded photographs while keeping ordinary text as text.
For scanned material, consider rescanning at a resolution appropriate for reading, or using grayscale when colour carries no meaning. Preserve colour when a legend, annotation or diagram depends on it. Check small print and mathematical symbols at normal viewing size after every change.
Changing the filename or putting the PDF in a ZIP archive does not optimize the PDF’s own contents. Work on a copy so you can return to the original if a setting reduces quality too far.
Use compression carefully for image-heavy files

This method removes selectable text and interactive links from the output. For a text-based PDF, prefer extracting pages or re-exporting from the source. For a scan that already consists of images, start with a lighter compression setting and compare the result with the original.
Do not assume that a readable-looking image-only PDF will be interpreted the same way as a searchable PDF. OpenAI’s upload guidance distinguishes text extraction from visual processing; availability can depend on the product and plan. If the workflow needs searchable text, use an OCR tool that adds a text layer and verify its output. Cifrivo’s compressor does not perform OCR.
Check the result before uploading
- Compare the new file size with the original. Keep the smaller version only if its quality is sufficient.
- Open a dense page, a table and any diagram your question depends on. Look for blurred labels or lost symbols.
- Try selecting and copying a sentence. Check that the copied text is correct if text extraction matters.
- Confirm the page range and make sure the file contains only material you intend to share with ChatGPT.
